Installation & Commissioning
Site readiness, installation, calibration and handover.
Prepare the site before the equipment arrives
A successful installation begins with the room, delivery route and people who will operate the system. Build the project brief around the selected model rather than a generic equipment category. Share the manufacturer’s planning documents with facilities, biomedical engineering, IT and the clinical department so that each team can identify its dependencies before a delivery date is agreed.
Separate equipment supply, building works, installation, commissioning and clinical acceptance in the quotation. This makes it possible to compare bids and identify who owns a delayed dependency. A room that is physically complete can still need network access, utility testing or the correct accessories before the equipment is ready for handover.
Installation, commissioning and acceptance
| Stage | Purpose | Record to retain |
|---|---|---|
| Site readiness | Check access, space, utilities and environmental requirements against model-specific planning documents. | Approved readiness checklist and outstanding works list. |
| Installation | Position, assemble and connect the delivered configuration. | Serial-number inventory, installation report and accessory list. |
| Commissioning | Document functional checks, configuration and applicable performance or safety tests. | Test reports, settings record and configuration baseline. |
| Acceptance | Review delivery and agreed performance with the hospital’s designated owners. | Signed acceptance record, open issues and closure dates. |
Site-readiness information to share
- Room and access: floor plans, loading route, lifts, door clearances, structural constraints and working hours.
- Utilities: manufacturer requirements for power, protection, earthing, HVAC, water, drainage or medical gases, as applicable.
- IT: network points, interface requirements, security review, integration contacts and test access.
- Clinical workflow: patient movement, operator positions, cleaning access and storage for accessories.
- Project ownership: the person responsible for each dependency and the date the area will be available.
Build a useful handover pack
Retain purchase and warranty references alongside the asset record. Include the delivered model and serial numbers, installed accessories, software versions, manuals, commissioning results, training attendance and service contacts. Record unresolved items separately so acceptance does not hide unfinished work. The final pack should be usable by a biomedical engineer who did not attend the installation.
Agree when the warranty or service period starts, which training sessions are included and how the first preventive visit will be scheduled. If installation spans multiple departments, stage the handover by room or asset group so each operational owner receives the correct records.

Estimate the complete installation budget
The worksheet below combines installation with enabling works and handover costs. Enter amounts from the project’s own quotations and set a contingency appropriate to the remaining uncertainty. Use the subtotal to identify missing work packages before the purchase order is issued.

Installation project budget
Move the sliders to plan your requirement. Use hospital records or quoted costs for your purchasing discussion.
k = thousand; m = million; b = billion.
Your estimate

Take the estimate with you
How this estimate is calculated
Subtotal = units × installation per unit + site works + utilities + network + acceptance + training + freight. Budget = subtotal × (1 + contingency % / 100).
Enter quoted amounts in PKR on the same tax basis. Contingency applies to the entire subtotal; financing, exchange-rate movements and recurring service costs are outside this estimate.
Initial figures are an illustrative example. Adjust them to your requirement before discussing a purchase.
