Turn the requirement into a comparable purchase

A useful tender brief connects the clinical need to a measurable technical specification and a clear commercial schedule. Start with the intended workflow, capacity and installation environment. Identify mandatory requirements separately from preferred features so that the evaluation does not depend on a product name alone.

Keep the specification, bill of quantities, delivery locations, acceptance requirements and service scope aligned. A quotation should make it possible to identify the proposed model, configuration, included accessories and any deviation from the requested scope without reconstructing the offer from several brochures.

What to include in the procurement pack

  • The tender reference, submission date, delivery schedule and purchasing contact.
  • Required quantity, item-level specifications and the unit of measure.
  • Room or department requirements, enabling works and integration needs.
  • Required technical documentation, model identification and manufacturer references.
  • Warranty, training, installation, acceptance and service requirements.
  • The commercial format for prices, taxes, freight and recurring costs.

Compare bids on the same scope

Comparison lineQuestion for evaluation

AcceptanceWhat evidence and delivery milestones trigger acceptance?
Commercial termsAre prices compared in the same currency and on the same tax basis?

Look beyond the purchase price

The acquisition price is one part of ownership cost. Add freight, setup, quoted taxes, service and expected consumable use across the comparison period. If bids have different usable reagent yields or disposable pack sizes, translate both offers into the same activity assumptions before comparing recurring costs.

The lifecycle worksheet below uses your quoted amounts. It does not assume a duty rate, tax treatment or exchange rate. It treats recurring annual costs as constant and leaves discounting and financing outside the calculation, which makes the basic arithmetic easy to inspect.

Keep a compliance matrix

Use one row per requirement. Record the offered configuration, the supporting manufacturer document and the evaluation outcome in separate columns. Keep deviations visible, including exclusions for site works, accessories, software subscriptions or service parts. This provides a traceable basis for technical and commercial review.

Before issuing the order, reconcile the successful offer with the final bill of quantities. Confirm model references, delivery phases, training participants and the acceptance records expected at handover. Send the tender pack and any clarification schedule with the enquiry so the response can address the actual purchasing requirement.

Your estimate

Adjust the figures for your requirement.

How this estimate is calculated

Acquisition = quantity × unit price + freight + installation + quoted taxes. Lifecycle cost = acquisition + years × (annual service + annual consumables) − residual value.

Use quoted tax amounts and prices in one currency. This is an undiscounted comparison with constant annual costs; inflation, financing, foreign exchange and reimbursement revenue are excluded. All recurring figures are for the entire equipment lot.

Initial figures are an illustrative example. Adjust them to your requirement before discussing a purchase.
